Manager, Corporate Services (Administrative)

Hong Kong-Shenzhen Innovation and Technology Park Limited (“HSITP”, a wholly owned subsidiary of the Hong Kong Science & Technology Parks Corporation, is engaged in the planning, building, management, operation and maintenance of the Hong Kong-Shenzhen Innovation & Technology Park at the Lok Ma Chau Loop (“the Loop”).
 
With a site area of 87 hectares, the Loop will be a hub for vigorous technology R&D and collaboration among top-notch international R&D institutions, technology enterprises and talent. The Loop will provide necessary infrastructure, facilities and service support for the innovation and technology (I&T) community; with associated higher education, cultural and creative and other complementary facilities.

Responsibilities:

  1. Office Renovation & Relocation Project Management:
    -Lead end-to-end project management for office fit-outs, renovations, expansions, and relocations
    -Develop project plans, budgets, and timelines; Liaise with architects, contractors, vendors, and internal stakeholders
    -Manage vendor selection, contracts, and ensure projects are delivered on time, within scope, and on budget
    -Minimize business disruption during project phases
  2. Office Administration & Facilities Management:
    -Oversee daily office operations, ensuring a clean, functional, and professional work environment
    -Manage relationships with key service providers (cleaning, security, maintenance, catering)
    -Implement and improve office policies, procedures, and space management protocols
    -Serve as the primary point of contact for employee office needs and inquiries
  3. Staff Health, Safety & Wellness:
    -Champion the company’s health and safety program; Act as the designated Safety Officer
    -Conduct regular risk assessments, safety audits, and emergency drills (fire, first aid)
    -Ensure compliance with all local, state, and federal health & safety regulations (OSHA)
    -Manage first aid supplies and training for office only; Promote employee wellness initiatives related to the workplace
  4. Procurement & Asset Management:
    -Oversee the procurement, inventory, and lifecycle management of all staff supplies, office equipment, and furniture
    -Develop and maintain preferred vendor relationships to ensure cost-effectiveness and quality
    -Implement sustainable and cost-efficient procurement practices
    -Manage the corporate services budget, track expenditures, and report on variances
  5. Team Leadership & Vendor Management:
    -Potentially supervise vendor staff who provide administration service to office; Foster a culture of service excellence
    -Effectively manage contracts and performance of external vendors and service providers
    -Handle ad-hoc tasks and projects assigned

 

Requirements:

  • Bachelor’s degree in Business Administration, Facilities Management, Project Management, or a related field
  • 5+ years of progressive experience in corporate services, facilities management, or office administration, with a proven track record in managing office renovation/relocation projects
  • Strong knowledge of workplace health & safety regulations and best practices
  • Demonstrated experience in procurement, vendor negotiation, and budget management
  • Excellent project management skills, with the ability to manage multiple priorities in a fast-paced environment
  • Superior organizational, communication, and problem-solving skills
  • Proficiency in MS Office Suite; experience with project management or facility management software is a plus
  • A proactive, service-oriented mindset with strong leadership capabilities
  • Proficient in MS Office and other administrative systems
  • Fluency in both spoken and written English and Chinese (including Putonghua)
  • Frequent Travel or Permanent Work in Lok Ma Chau Office is required (Shuttle bus service will be available)
